Tenant management
Create and manage tenants from a tenant template with self-service provisioning
Introduction
Organizations that operate many client entities or funds, each requiring its own isolated environment, previously depended on the Finologee Customer Success team for every new tenant. Tenant management removes that dependency by letting users with tenant management rights create new, fully configured tenants directly from the interface.
A tenant template is a live FinologeeBKO tenant whose configuration acts as a blueprint. Users create new tenants from a tenant template through a creation wizard, and FinologeeBKO provisions each new tenant automatically, including schema setup, identity provider client configuration, and notification configuration. A new tenant inherits the template's configuration at the time of creation, and can then be configured individually as an independent, fully isolated tenant.
The Tenant management menu gives access to the Tenants list, which shows all tenants created from the template, with status tracking and an audit trail of lifecycle events.
Prerequisites
Tenant creation is available only on tenant templates, and only to users with the appropriate right.

Tenant templates overview
A tenant template serves as the configuration blueprint for the tenants created from it. Administrators configure a tenant template through the standard Tenant Settings interface, the same one used for any tenant, covering roles, permissions, user groups, payment categories, account groups, signatory rules, feature flags, and white-label design.
New tenants inherit this configuration at the point of creation. Changes made to a template afterwards apply only to tenants created from that point forward; existing tenants are not affected retroactively. Once created, each tenant is configured and operated individually, independently of the template.
Tenants created from a template cannot themselves create further tenants. Only tenant templates can create tenants, keeping the tenant hierarchy at a single level.
Creating a tenant
Users with the TENANT_MANAGEMENT_WRITE right create new tenants through a wizard, without depending on customer support or backend access.
Tenant creation wizard
To create a new tenant:
- Open the Tenant management menu and select Tenants
- Click Create
- Enter the basic information for the new tenant, including its display name, URL subdomain, and base currency
- Configure the administrators for the new tenant, and choose whether to enable four-eyes review for it
- Review the summary and confirm to start provisioning
FinologeeBKO validates the request, then provisions the tenant automatically, cloning the template's schema, creating the identity provider client, and configuring notifications. A progress indicator reflects each stage of provisioning.
Once provisioning completes, the new tenant appears in the Tenants list, and its administrators receive onboarding notifications.
Accessing a newly created tenantA row action opens the tenant's URL in a new browser tab. From there, administrators sign in and configure the tenant using the standard Tenant Settings interface.
Tenants list
The Tenants list, available from the Tenant management menu on a tenant template, shows all tenants created from that template.
Information displayed
The tenants list includes:
- Display name
- URL (subdomain and template domain)
- Base currency
- Creation date and creator
- Status
Audit trail
Below the tenants list, an audit trail section records lifecycle events for each tenant, including creation, deactivation, and reactivation, with timestamp and actor.
Managing tenants
Administrators can deactivate a tenant that should no longer be accessible, and reactivate it later if needed.
Deactivating and reactivating a tenant
To change a tenant's status:
- Open the Tenant management menu and select Tenants
- Locate the tenant row
- Click Deactivate to disable an active tenant, or Reactivate to restore a deactivated tenant
While a tenant is deactivated, users cannot log into it. Incoming bank statements continue to be processed and persisted for the tenant during this time.
Status definitions
| Status | Definition |
|---|---|
| Provisioning | Tenant creation in progress; schema, identity client, and notification setup are being applied |
| Active | Tenant provisioned successfully and available for use |
| Deactivated | Tenant disabled; users cannot log in, but incoming data continues to be processed |
| Failed | Provisioning did not complete successfully; requires investigation |
Best practices
- Review the template before creating tenants - Confirm the template's roles, permissions, and payment categories reflect what new tenants should inherit, since each tenant copies this configuration at creation time
- Use descriptive display names and subdomains - Choose names that clearly identify the client or fund associated with each tenant
- Monitor the audit trail - Review tenant lifecycle events regularly, particularly for invoicing and compliance purposes
- Coordinate administrator onboarding - Confirm that tenant administrators complete onboarding promptly, particularly when four-eyes review is enabled
